TITLE:          ELEMENTARY SCHOOL SECRETARY 

 

PRIMARY FUNCTION:

Contributes to the efficiency of the schools public relations by providing prompt and courteous response to all inquiries and visitors. Perform a variety of office procedures in information management, clerical, computer use, and other related work. Assist the principal, by providing support which allows him/her maximum attention to the administration of an effective instructional program.

 

QUALIFICATIONS: 

  1. Any combination of education and experience equivalent to graduation from high school and considerable experience in progressively responsible clerical work and software skills including managing information systems.
  2. Thorough knowledge of standard office practices and procedures, equipment, and secretarial techniques. (Computer skills required.)
  3. Creates a courteous and professional office environment.
  4. Ability to establish and maintain effective working relationships with others.
  5. Excellent human relation and communication skills.
  6. Ability to work independently in the absence of specific instruction.
  7. Ability to meet the public effectively.

REPORTS TO:         Principal

 

ESSENTIAL FUNCTIONS: 

 

The following duties may be distributed between various secretarial staff or clerical aides as designated by the building administrator 

  1. To perform all secretarial and clerical duties pertaining to the administrative functions of the school office.
  2. Receives and routes all incoming telephone calls; providing responses to public inquiries.
  3. Talks with student encountering problem and resolves problem or directs student to appropriate school employee.
  4. Communicates pertinent information to students, staff, parents and community as directed by the building administrator.
  5. Maintains student records and manages the transfer of records between schools (including grade and attendance reports and other student record information).
  6. Manages and accurately maintains student information and attendance in division’s database system.
  7. To record and verify all daily student attendance records, including entries and withdrawals within the division’s database system.
  8. Maintains calendar of school events.
  9. Disburses and records all monies received by the school, maintains records of financial transactions, balances and audits school fund accounts. Prepares and makes deposits as required by division financial management guidelines.
  10. Prepare purchase orders, maintain records, and keep accounts balances.
  11. To record and report accidents to the central office. Assist in completing required paperwork for accident reports.
  12. To record and prepare reports of student discipline to the central office. Maintain accurate updates in the student information database. 
  13. To keep the office and office bulletin boards attractive and up-to-date.
  14. To receive and distribute all consumable supplies used in the school as required by the principal.
  15. To keep accurate records of attendance for all employees and to make monthly reports to payroll.
  1. Assist principal in arrangements of substitutes as designated.
  2. To perform other duties as assigned by the principal.

TERMS OF EMPLOYMENT: 10, 11, or 12-Month Contract

  

EVALUATION:

 

Performance on this job will be evaluated in accordance with school board policy and administrative regulations on evaluation of classified personnel.
